Services Request Management
There are two sections related to the management of services:
- 'Approved Services'
- 'Pending Services’
Client will search by filters and when you match criteria, the process of service request is started. New request will appear on your account.
When a service is requested by the client, the estimate request is received in the 'Pending Services' section.
The service provider is required to create an estimate by selecting 'Create Estimate'.
A pop-up window is opened, and the estimated time and number of personnel dedicated to the project should be completed for all relevant sections. If some sections are not applicable to the project, the number of hours should be left at 0.
The mileage rate is defined per kilometre, not per mile, and is applicable only if a private car is used for transportation.
In the 'Additional Information' section, a description should be provided to justify mileage, expenses, and, if applicable, standby time. A clear description will assist the client in approving the service.
Once the estimate is completed and saved by clicking ‘Send Estimate’, the estimate quotation is sent to the client, and the status of the service changes to 'Estimate Submitted'.
If the service estimate is approved, it will be shown in the 'Approved Services' section, and client details, as well as service provider details, become available to the client.
Detailed communication can then be initiated for service planning and execution.
If the service estimate is rejected by the client, the information is displayed in the 'Approved Services' section as rejected without client details.
Project management
Project management (PM), including time tracking, is conducted on a separate project management platform.
A new project is created in PM platform when the service is approved by the client, and the service provider is added to the system as a user with access provided via email.
In PM platform, only the timesheet needs to be completed. When the project is completed, a time report needs to be sent to the client by service provider for approval and signature. It will also be uploaded into the Project/Files section, along with all relevant reports.
All discussions related to the project between IMPEVIS, and the service provider will be conducted via the PM platform under Projects/Discussion.
Detailed PM platform user instructions will be sent when the project is approved by the client.
Deliverables
All Deliverables are provided to the client at the end of the project by Service Provider and must be uploaded in PM system Project/Documentation.
